Printer Tips: Buying, Maintaining, and Getting the Best Print Quality

Introduction

Printers seem simple until something goes wrong โ€” wasted paper, smeared ink, cartridges that dry out, or screenshots that print as dark blobs. This guide covers the practical tips that save time, money, and frustration.

Choosing a Home Printer

For most home users, an inkjet all-in-one is the right choice:

What to look for:

  • Automatic duplex (double-sided) printing โ€” saves paper, essential for documents
  • Wireless/Wi-Fi โ€” print from phone, tablet, or laptop without cables
  • Large ink tanks (EcoTank/MegaTank style) โ€” much cheaper per page than cartridges
  • Color support โ€” even if you mostly print black and white

Recommended brands: HP, Canon, Epson, Brother โ€” all make reliable home printers. Epson EcoTank and Canon MegaTank models have the lowest running costs.

Laser vs Inkjet:

Inkjet Laser
Photo quality Excellent Good
Text quality Good Excellent
Speed Slower Faster
Running cost Higher (cartridges) Lower (toner)
Idle cartridge drying Yes (problem) No
Best for Photos, occasional use High-volume text

If you print infrequently (less than once a week), inkjet cartridges may dry out between uses. Consider a laser printer or an EcoTank model.

Always Use Print Preview

Before printing anything, use Print Preview. This single habit saves more paper than anything else.

Check for:

  • Correct number of pages (a 2-page document shouldn’t print as 8 pages)
  • Content not cut off at the edges
  • Correct orientation (portrait vs landscape)
  • Headers and footers appearing correctly
  • Images positioned as expected

Never Print Screenshots Directly

Printing a screenshot of a dark-themed application or website will waste ink and produce an unreadable dark page.

Instead:

  1. Export or save as PDF first
  2. Print the PDF
  3. Or use the application’s built-in print function (which handles formatting)

# Or use Reader Mode first:

For dark-themed code editors or terminals, use a light theme before printing, or export to PDF with a white background.

Inkjet Cartridge Maintenance

Inkjet cartridges dry out when not used. This is the most common inkjet problem.

Preventing Dry Cartridges

Print regularly โ€” even a test page once a week keeps the nozzles clear. Most printers have a “nozzle check” or “test print” function in the printer software.

Don’t leave the printer unused for months โ€” if you’re going on a long trip, print a test page before you leave and when you return.

Storing Cartridges

If you need to remove a cartridge for storage:

  1. Remove the cartridge carefully
  2. Place it in a sealed plastic bag (zip-lock)
  3. Store in the refrigerator (not freezer) โ€” cold slows evaporation
  4. Let it warm to room temperature before reinstalling (30 minutes)

Cleaning Clogged Nozzles

Most printers have a built-in cleaning cycle:

Printer software โ†’ Maintenance โ†’ Clean Print Heads

Run the cleaning cycle 2-3 times if the first doesn’t work. If still clogged after 3 cycles, the cartridge may need replacement.

Manual cleaning (last resort):

  1. Remove the cartridge
  2. Dampen a lint-free cloth with distilled water (not tap water)
  3. Gently wipe the nozzle plate
  4. Let dry completely before reinstalling

Paper Tips

Paper Weight and Type

Paper Weight Best For
Standard copy paper 75-80 gsm Everyday documents
Premium copy paper 90-100 gsm Presentations, reports
Photo paper (glossy) 200-280 gsm Photos
Photo paper (matte) 170-220 gsm Photos, certificates
Card stock 160-300 gsm Business cards, invitations

Always use paper rated for your printer type (inkjet vs laser โ€” they use different coatings).

Loading Paper

  • Fan the paper before loading to prevent jams
  • Don’t overfill the tray โ€” stay within the marked maximum
  • Align the paper guides snugly but not tightly
  • Store paper in a dry place โ€” humid paper causes jams and smearing

Saving Ink and Paper

For internal documents that don’t need to look perfect:

Draft mode uses significantly less ink.

For reference documents, notes, or handouts:

Print โ†’ Pages per sheet โ†’ 2, 4, or 6
Print โ†’ Page Range โ†’ Pages: 3-5

For web pages, use browser extensions like “Print Friendly” to remove ads and navigation before printing.

Use Grayscale for Non-Photo Documents

Print โ†’ Properties โ†’ Color โ†’ Grayscale/Black and White

Color ink is much more expensive than black. Use grayscale for anything that doesn’t need color.

Troubleshooting Common Problems

Paper Jams

  1. Turn off the printer
  2. Open all access panels
  3. Gently pull the paper in the direction of travel (don’t pull against it)
  4. Remove all torn pieces
  5. Close panels and restart

Streaky or Faded Prints

  • Run the nozzle check and cleaning cycle
  • Check ink levels
  • Shake the cartridge gently (some models)
  • Replace the cartridge if cleaning doesn’t help

Prints Are Blurry

  • Check that you’re using the correct paper type setting
  • For photos, use photo paper and set the paper type to “Photo Paper”
  • Clean the print heads

Printer Not Found on Network

# Check printer IP address (usually on printer's display or settings page)
# Reconnect to Wi-Fi via printer settings
# Restart printer and router
# Reinstall printer driver
